Wohnungsübergabe in Germany: Vocabulary and What to Expect
The Wohnungsübergabe is the official apartment handover that happens when you move in or move out. It is one of those moments in Germany where knowing the right words really matters. What you agree to during the Übergabe is documented in a protocol, and that document can determine whether you get your full deposit back when you leave.
A “Wohnungsübergabe” (apartment handover) is a formal walkthrough where you and the landlord inspect the apartment together and record its condition in a written “Übergabeprotokoll”. This protocol lists damage, meter readings, number of keys, and anything that needs repair. Both sides sign it. It protects you and the landlord equally.
When Does the Wohnungsübergabe Happen?
The handover takes place twice: once when you move in (Einzug) and once when you move out (Auszug). The move-in handover sets the baseline. The move-out handover compares the apartment's condition against that baseline. Any damage beyond normal wear and tear (“normale Abnutzung”) could be deducted from your deposit.
Schedule the Übergabe directly with your landlord or the property manager. It usually takes 20 to 40 minutes, depending on the size of the apartment. As part of the apartment hunting process, you should know that the handover often happens on the same day you receive the keys.
What Is in the Übergabeprotokoll?
The handover protocol is a simple document, but every detail counts. A typical Übergabeprotokoll covers:
- “Zählerstände” - meter readings for electricity, gas, and water
- “Anzahl der Schlüssel” - number of keys handed over
- “Zustand der Wände” - condition of the walls
- “Zustand der Böden” - condition of the floors
- “Mängel” - defects or damage
- “Vorhandene Einrichtung” - existing fixtures and fittings (built-in kitchen, bathroom fixtures)
Go through each room carefully. Open cupboards, check windows, run faucets, flush toilets, and test light switches. The verb “sehen” (to see) comes up often — you will be pointing out what you “haben” (have) noticed. If you spot something wrong, say it clearly:
- “Hier ist ein Riss in der Wand.” - There is a crack in the wall here.
- “Der Wasserhahn tropft.” - The faucet is dripping.
- “Das Fenster schließt nicht richtig.” - The window does not close properly.
- “Das muss ins Protokoll aufgenommen werden.” - That needs to be recorded in the protocol.
Key Phrases for the Move-In Handover
During the move-in Übergabe, your job is to document everything that is already damaged or worn. Do not feel awkward about pointing things out. This is exactly what the protocol is for.
- “Können wir die Zählerstände zusammen ablesen?” - Can we read the meter readings together?
- “Wie viele Schlüssel bekomme ich?” - How many keys do I get?
- “Dieser Kratzer war schon vorher da.” - This scratch was already there.
- “Ich möchte das bitte fotografieren.” - I would like to take a photo of that, please.
Taking photos is essential. Photograph every room, every defect, and every meter reading. Date-stamped photos are your best evidence if there is a dispute later.
What About the Move-Out Handover?
When moving out, the landlord compares the apartment's current condition to the move-in protocol. This is where your deposit (“Kaution”) is at stake.
Check your rental contract for “Schönheitsreparaturen” (cosmetic repair obligations). Some contracts require you to repaint the walls in a neutral color before moving out. Others do not. If your contract includes this clause, clarify the details before the handover:
- “Muss ich die Wände streichen?” - Do I need to paint the walls?
- “In welcher Farbe sollen die Wände sein?” - What color should the walls be?
- “Wann bekomme ich meine Kaution zurück?” - When will I get my deposit back?
Landlords have up to six months to return your deposit after you move out. They can hold back money for outstanding utility bills (Nebenkostenabrechnung) or repairs. If you disagree with deductions, respond in writing. The Landlord Complaint scenario can help you practice communicating issues to your landlord in German.
Tips to Protect Your Deposit
Most deposit disputes come down to documentation. The more thorough you are during the move-in handover, the safer your money is at move-out.
- Always insist on a written Übergabeprotokoll. If the landlord says it is not necessary, that is a red flag.
- Photograph everything, even if it looks fine. You want proof that the apartment was in good condition when you arrived.
- Keep a copy of the signed protocol. Do not rely on the landlord to send it to you later.
- Read your contract's section on Schönheitsreparaturen carefully before move-out.
